Features

• Machines. Add each machine with a nickname and its own Shop Rate ($/hr). Brand and model are optional.

• Processes. Set up machine processes like milling or turning, manual work like deburring with its own shop rate, and outside work like anodize or powder coat. For outside work, check “Pricing Varies – add pricing per quote” and enter your cost on each quote.

• Shop Overhead % and Default Margin %. Set them once on the Company page. Each new quote copies them, and saved quotes keep the numbers they were made with.

• Setup and run time. For each machine process, enter setup hours, run hours per part, and setup materials/special tooling cost. Quote Guru shows the customer price per part and the setup (NRE) charge separately.

• The setup charge is the setup hours at the machine rate plus setup materials/special tooling. It’s charged one time per part number and never added to the price per part.

• You enter costs, it adds margin. Enter your internal material and outside-process costs. Quote Guru applies your margin.

• Total Internal Costs vs. Quote Total. See both at the bottom of every quote.

• Materials and Customers libraries. Pick from your lists while you quote.

• Your logo on every quote. Upload your logo (PNG or JPEG, up to 1.5 MB) on the Company page. It prints at the top of every customer PDF.

• Customer PDF. Click Export PDF. You get a quotation with your company info, quote number, date, lead time in business days, and Customer Notes.

• Ready to try. Example machines, processes, materials, and customers come loaded, so you can build a test quote right away.

How it works

1. Set up your shop. Add your company info, Shop Overhead %, and Default Margin %. Then add your machines, processes, materials, and customers.

2. Build the quote. Pick a customer, add line items, and add processes to each part. Quote Guru figures the price per part and the setup (NRE) charge.

3. Send the PDF. Click Export PDF and send your customer a clean quote.

How the math works (simple example)

• Machine shop rate: $100/hr

• Add 20% Shop Overhead (shop rate × 1.20). Your cost: $120/hr

• Apply a 35% Default Margin (cost ÷ 0.65). Your sell rate: $184.62/hr

You don't need to add overhead to your shop rates yourself. Quote Guru does it. Margin is figured on the sell price, not as a markup on cost.

Overhead applies to machine and process hours. Material, setup materials/tooling, and outside-process costs get your margin but no overhead.

FAQ

How does the free trial work?

The 14-day trial starts the first time you open Quote Guru on a PC. The whole app works with no key. No payment card is needed. When the trial ends, enter a license key to keep quoting.

Is the license per PC?

Yes. Quote Guru is a one-time purchase, and one key covers one PC. Getting a new computer? Click "Deactivate this PC" on the License page, then activate the same key on the new one. If you need a hand moving your license, contact us.

What do I need to run it?

A PC running 64-bit Windows 10 or 11. Run the MSI installer and you're done. You don't need an admin password, .NET, or anything else. After you activate, quoting works offline.

What's on the customer PDF?

A QUOTATION header with your logo, your company name, address, phone, and email, plus the quote number, date, customer, lead time in business days, and how long the quote is valid.

Each part shows part #, description, qty, price per part, and line total. The setup (NRE) charge prints as its own line, once per part number. Your Customer Notes print too.

Your machines, shop rates, overhead, margin, internal costs, and Internal Notes never appear on it.

Where are my quotes stored?

On your PC. Quote Guru never sends your quote data to us. It only connects to check your license and look for updates, sending just your license key and basic technical details.
